Mission
SUMMARY:
The Purchase Book Controller is responsible for maintaining the accuracy, integrity, and completeness of the purchase book within Winrest. This role operates independently from the purchasing function to ensure proper governance, data reliability, and separation of duties. The position focuses on recording and controlling procurement transactions rather than executing purchasing decisions, ensuring transparency and avoidance of conflicts of interest between suppliers, buyers, and financial records.
RESPONSIBILITES
- Ensure the purchase book is complete, up-to-date, and error-free
- Monitor and correct discrepancies in purchasing records
- Maintain high standards of data accuracy, traceability, and audit readiness
- Ensure all supplier-related data (pricing, quantities, delivery records) is correctly captured from source documents.
- Perform routine checks and reconciliations of procurement data.
- Generate reports on purchase book status, discrepancies, and trends.
- Operate independently from the purchasing team to ensure unbiased recordkeeping
- Maintain clear separation between: Purchasing decision-making (buyers)
- Ensure no conflict of interest between supplier interactions and data recording activities
- Escalate inconsistencies, irregularities, or compliance risks to the Procurement Manager.
- Work closely with Finance, IT, Production and Supply team to ensure alignment of records
- Support audits by providing accurate procurement documentation and reports
- Assist in improving ERP data processes and controls
- Complete other related projects as assigned by the Procurement Manager.
- Maintain a sense of positivity and professionalism in communications and execution of duties.
- Regular and timely attendance is expected for the position.

- Other duties as assigned by management based on the needs of operationEnsure compliance with all applicable requirements related to product and service quality, environmental standards, food safety, and health and safety regulations.
- Promote a safe and healthy work environment by preventing work-related injuries and illnesses, eliminating hazards, and reducing health and safety risks.
- Compliance with Hazard Analysis Critical Control Points (HACCP)/General manufacturing practices (GMP) guidelines for personal hygiene and observe security precautions as mandated by unit management.
- Satisfactory and punctual attendance is expected.
- All other duties as assigned.
Profil
EDUCATION/REQUIREMENTS
- Experience within Food production/catering purchasing and procurement preferred.
- Experienced with Microsoft Office Applications such as Word, Excel, and Outlook
- Experience with product specification, budget constraints, and utilization of supply and demand.
KNOWLEDGE, SKILLS, AND ABILITIES
- Proficient knowledge of state laws regarding payroll and benefits requirements
- Proficient in Microsoft Office, especially Excel
